PURPOSE OF THE UNIT STANDARD 
This Unit Standard introduces the team or group leader to the preparation and procedures required in chairing a formal meeting using committee procedure. It is intended for managers of small businesses and junior managers of business units in larger organisations. The term business unit in this Unit Standard implies a small business, cost centre, section or department.

Junior managers include, but are not limited to team leaders, supervisors, first line managers and section heads. The position or term is used to describe the first level of management in an organisation at which an employee has other employees reporting to him/her.

    1.Physical arrangements required for a meeting are listed and an indication is given of who is responsible for making the necessary arrangements.

    2.The importance of checking that physical arrangements are in order is explained and a checklist is devised as a management tool.

    3.Documents required for a meeting are collated and checked against the minutes of the previous meeting and agenda.

    4.The purpose of an agenda is explained and an indication is given of how items can be placed on the agenda.

    1.Situations that could be a potential source of conflict are identified and possible strategies to diffuse conflict are suggested with reference to attitude of member, topic, positions adopted by people, language and tone.

    2.Strategies for resolving conflict at a meeting are demonstrated in role play for three different scenarios.

    1.Minutes are checked for accuracy prior to distribution.

    2.An action list is compiled to ensure that the decisions of a meeting are implemented and an indication is given of how these can be monitored by the chairperson.

    3.The meeting is reviewed and suggestions for improvement are made to enhance the effectiveness of future meetings.
