The person credited with this unit standard is able to identify and deal with harmful factors, situations and storage facilities that will have a negative impact on the life cycle of the record(s) in terms of their preservation and conservation. The learner will also be able to apply those techniques that will minimise or eliminate damage and/or loss of the record(s).

The qualifying learner is capable of:
  • Explaining factors that impact on the storage, preservation and conservation of records.
  • Implementing preservation and conservation measures.
  • Storing records to enhance accessibility, preservation and conservation.
  • Applying specialised techniques to minimise or eliminate damage or losses.

    An explanation is given of the harmful factors that may impact on the preservation and conservation of records. 
    ASSESSMENT CRITERION RANGE 
    Harmful factors may include but are not limited to temperature, humidity, light, pests, water, fire, structural damage, dust and handling.
     

    ASSESSMENT CRITERION 2 
    Preventative measures for the preservation and conservation of records are explained in terms of international standards. 

    ASSESSMENT CRITERION 3 
    Storage facilities and equipment that have an impact on the preservation and conservation of records are explained in terms of extending the life expectancy of records.

    Security measures for the protection of records are described in order to safeguard the records.

    The consequences of poor housekeeping practices are explained with examples of the impact on the preservation and conservation of records.

    Situations that may cause harm to records are identified and reported to higher authority in order to preserve and conserve records.

    Preservation and conservation policies and procedures are implemented according to statutory and organisational requirements.

    Records that are at risk are identified in order to protect and preserve them from damage.

    Records at risk are moved to a safe and secure environment in order to preserve and conserve them.

    Storage facilities are identified in terms of the type of storage required in order to preserve, conserve and enhance accessibility of the records.

    Records are placed in storage facility according to statutory preservation and organisational requirements.

    Records are stored in order to facilitate the best possible access and retrieval processes.

    Storage facility is monitored in order to maintain optimal conditions throughout the life of the record.

    Selected techniques are accurately applied in accordance with international archival procedures.
