PURPOSE OF THE UNIT STANDARD 
This unit standard forms part of the qualification, FETC: Debt Recovery. This standard will add value to learners who have their own or wish to start their own Debt Recovery business, or those doing debt recovery in large Debt Recovery organisations. This standard will also add value to learners working in a large commercial organisation in the Debt Recovery/Credit control division.

The qualifying learner is capable of:
  • Preparing material for inclusion in debtor correspondence
  • Preparing draft correspondence
  • Revising draft correspondence
  • Forwarding correspondence

  • Mathematical Literacy at NQF Level 3

    Appropriate method of correspondence is identified to suit clients and nature of debt. 

    ASSESSMENT CRITERION 2 
    All support material is gathered from case history file. 

    ASSESSMENT CRITERION 3 
    Additional discussions with debtors are noted and incorporated in preparatory documentation. 

    ASSESSMENT CRITERION 4 
    Any additional information that is relevant to the correspondence is obtained from relevant stakeholders. 

    ASSESSMENT CRITERION 5 
    Material is grouped and sequenced in a logical fashion. 

    ASSESSMENT CRITERION 6 
    Correct amount of money owed is established and any costs, fees and interest added according to legislative and company rules, regulations and creditor mandates.

    Prepare draft correspondence.

    ASSESSMENT CRITERION 1 
    A template for writing typical letters is obtained from relevant sources. 
    ASSESSMENT CRITERION RANGE 
    Sources of correspondence include but are not limited to company and commercially available templates.
     

    ASSESSMENT CRITERION 2 
    The template letter is customised utilising all material and notes gathered. 

    ASSESSMENT CRITERION 3 
    The letter is drafted in logical sequence according to the way in which the material was prepared and gathered. 

    ASSESSMENT CRITERION 4 
    The outstanding account details are referred to in the first paragraph to effectively outline the purpose of the letter and reference number is clearly stated. 

    ASSESSMENT CRITERION 5 
    Any actions that are agreed to in the discussion with the debtor are summarised clearly in the closing of the letter, along with deadlines for actions, if applicable. 

    SPECIFIC OUTCOME 3 
    Revise draft correspondence.

    ASSESSMENT CRITERION 1 
    The first draft is proof read and reworked if necessary. 
    ASSESSMENT CRITERION RANGE 
    Reworking of draft letter includes but is not limited to proof reading, rephrasing, removing unnecessary words and phrases, deleting unnecessary information.
     

    ASSESSMENT CRITERION 2 
    Arguments to secure action by debtor are clearly stated. 

    ASSESSMENT CRITERION 3 
    Wording in correspondence complies with legal requirements and organizational code of conduct.

    Correct method of distribution for correspondence is determined to ensure letter is received by debtor. 

    ASSESSMENT CRITERION 2 
    All measures are taken to ensure that debtor receives correspondence. 
    ASSESSMENT CRITERION RANGE 
    Measures to ensure that debtor receives correspondence includes but are not limited to hand delivery, issuing of registered letters, standard postage.
     

    ASSESSMENT CRITERION 3 
    Measures comply with legislative requirements and code of conduct. 

    ASSESSMENT CRITERION 4 
    Records are kept of dates of distribution of correspondence. 

    ASSESSMENT CRITERION 5 
    Debtor accounts are updated accordingly.

  • An individual wishing to be assessed (including through RPL) against this Unit Standard may apply to an assessment agency, assessor or provider institution accredited by the relevant ETQA, or an ETQA that has a Memorandum of Understanding with the relevant ETQA.
  • Anyone assessing a learner against this Unit Standard must be registered as an assessor with the relevant ETQA or with an ETQA that has a Memorandum of Understanding with the relevant ETQA.
  • Any institution offering learning that will enable achievement of this Unit Standard or assessing this Unit Standard must be accredited as a provider with the relevant ETQA or with an ETQA that has a Memorandum of Understanding with the relevant ETQA.
